University Policy on: Cross-institutional enrolment for students undertaking an award course at another institution in Australia

Purpose of the policy and summary of issues it addresses:

This policy deals with students who seek to undertake a unit or units of study at the University for credit toward an award course at another institution in Australia.

The purpose of this policy is, within the context of maintaining standards at the highest international levels, to:

  • ensure a consistent approach is adopted in considering applications under this policy; and
  • ensure applications are only approved under certain circumstances.

Definitions:

In this policy and any associated procedures,

the University means The University of Western Australia

home institution means the institution at which the student is enrolled for an award course

relevant faculty or board is the faculty or board with responsibility for administering the course within which the unit has been approved for offer

Policy statement:

1 General Principles

1.1 Within the context of maintaining standards at the highest international levels, the University, under certain circumstances, permits students enrolled in an award course at another institution in Australia to enrol in a unit or units of study at the University for credit towards their course at the home institution.

1.2 Students enrolled in an award course at another institution in Australia who wish to enrol in a unit or units at the University for credit towards their award course must seek approval for their enrolment from the home institution prior to seeking approval from the University.

1.3 Students may be required to provide evidence that they meet the Universitys requirements for competence in English.

1.4 The written authority of the relevant faculty or board is required for a student to undertake a unit or units.

1.5 This policy does not apply to students undertaking study under a student exchange agreement.

1.6 Students incur a student contribution or fee liability for the units undertaken at the University as determined by the University.

1.7 Students are required to make their student contribution or fee payment to the institution at which they are undertaking the relevant units.

1.8 The University may seek verification of any documents provided in support of an application for enrolment.

1.9 Enrolments are processed on a not for degree basis.

1.10 Students are assessed in the same way as students undertaking the relevant unit(s) for an award of the University.

1.11 Students results are provided to their home institution.

2 Appeals

2.1 Students who are dissatisfied with a decision in relation to an application to enrol at the University under this policy may pursue their case under the Complaints Resolution Policy and/or through an appropriate government body.

Procedures

1 All students

1.1 Applicants under this policy must have their application approved by the home institution first by completing the Application for Cross Institutional Admission and Enrolment at the University of Western Australia form.

1.2 If the application is approved by the home institution, the student must submit to the University the Application for Cross Institutional Admission and Enrolment at the University of Western Australia form.

1.3 The application must include a copy of the applicants academic record and current enrolment.

1.4 Applications close on Friday prior to the start of the relevant semester.

1.5 Late applications may be considered upon payment of a non-refundable late fee of $100.00 payable at the Enquiry Counter, Student Administration (Hackett Hall) when lodging the form.

1.6 If the application is approved, the applicant will be enrolled in the approved units at the University and will receive as confirmation of enrolment a Confirmation of Cross-Institutional Enrolment letter.

1.7 The student must present himself/herself at the Enquiry Counter, Student Administration (Hackett Hall) to obtain a Campus Card (student ID card).

1.8 Throughout the period of enrolment at the University the student must maintain an enrolment at both the home institution and the University.

1.9 Students who wish to re-enrol are required to submit a separate application ensuring they have home institution approval.

1.10 Unless the students situation or status has changed, submitting previously supplied documentation is not required.

Procedures

2. International student applications

2.1 Original or certified copies of documents, including the relevant faculty or board approval are sent to the Study Abroad and Student Exchange Office within the International Centre for processing.

2.2 The International Centre prepares a Letter of Offer including fee information, enters details on the International Centre database and generates a student number.

2.3 Upon payment of fees, the Study Abroad and Student Exchange Office will forward the application documentation to Student Administration who will enrol the student, and issue a Confirmation of Cross-institutional Enrolment letter to the student.

2.4 For recording purposes, the Study Abroad and Student Exchange Office will enter both the application and the Letter of Offer on TRIM.

2.6 Student Administration forward to TRIM the complete application, including a copy of the letter of offer and Confirmation of Cross-Institutional Enrolment.

3. Fees

3.1 The unit tuition fees for international student can be accessed through the International Student Fees Calculator . Any enquiries should be directed to the International Fees Officer on Tel: 6488 1409.
