University Policy on: Readmitting excluded and lapsed/discontinued students

Purpose of the policy and summary of issues it addresses:

This policy deals with the readmission of excluded and lapsed/discontinued domestic undergraduate students.

The purpose of this policy is to ensure that:

  • the process for readmitting excluded and lapsed/discontinued students is fair, equitable and streamlined;
  • students who have been assigned a progress status of "Excluded" are able to demonstrate that they have addressed the issues which led to them to that status; and
  • lapsed students, where requested by the faculty, may be required to demonstrate that they have addressed any issues which led them to that status.

Definitions:

For the purposes of this policy and any associated procedures,

the University means The University of Western Australia

UWA means The University of Western Australia

excluded student means a student who has made unsatisfactory progress and has been assigned the status of "Excluded"

lapsed student means a student whose course attempt status has lapsed due to non-enrolment, or who has withdrawn completely from their course and has not been granted approved leave and as a result is classified as having discontinued his or her course

New Courses 2012 refers to courses introduced in 2012 or soon afterwards which conform to the structural requirements adopted as a result of the UWA Course Structures Review. They may be either undergraduate degree courses or postgraduate degree courses.

group 2 applicant refers to any applicant not being admitted on the basis of secondary school results alone. It includes applicants with partially-completed tertiary study, as well as TAFE and most mature-age students.

Policy statement:

1 General principles

1.1 Students who have been assigned a progress status of 'Excluded' as the result of unsatisfactory academic performance are not permitted to re-enrol in their course or another course at UWA except as set out in this policy.

1.2 Students, whose course attempt status has lapsed due to non-enrolment or who have withdrawn completely from their course and have not been granted Approved Leave are classified as 'discontinued' and have lost their place at UWA and as a result need to be readmitted before [re-] enrolment can proceed.

1.3 Students who:

(a) have been assigned a progress status of 'Excluded';

(b) have not had their progress status changed as the result of a request for special consideration or submission of an application for a review (stage 1) and/or appeal of progress status; and

(c) believe that their case has changed since they were assigned a progress status of 'Excluded', may, after a period of at least 12 months has elapsed since the assignment of the 'Excluded' status, apply to re-enrol in the course.

1.4 There is no quota on readmitting lapsed and excluded students.

1.5 Excluded or discontinued students must apply for admission to a course which forms part of New Courses 2012 if they want to change courses.

1.5.1 On assessing an application to change course under 1.5, the University may offer the student admission to a course that does not form part of New Courses 2012 where this is considered to be in the student's best interest.

2 Readmitting excluded students

2.1 Excluded students may apply for readmission to the same course from which they were excluded, or for admission to a different course which is part of New Courses 2012.

2.2 Excluded students must provide a personal statement outlining the students' reasons for seeking reenrolment, the issues which contributed to their previous poor performance and the action that has been taken to address those issues.

2.3 A direct comparison with current Group 2 applicants must be made prior to the readmission of an excluded student.

Procedures - Readmitting excluded students

1.1 Applications for readmission must be submitted to Admission Centre by the relevant closing date in each semester.

1.2 Applications for readmission must be recorded on Callista by SMS on advice - from Student Administration.

1.3 Faculties, for admission to Pre-2012 courses, or the Admissions Centre, for admission to New Courses, must advise Student Administration in writing of approved re-admissions prior to the appropriate offer rounds (First Round, Second Round or Mid-Year).

1.4 On advice from Student Administration Callista must be updated by SMS to reflect decisions (including the lifting of academic encumbrances to generate readmission offers).

1.5 The University notifies applicants for readmission of the application outcome in the offer rounds.

1.6 Successful applicants are invited to enrol during commencing student enrolment sessions (either First Round (January), or Mid-Year (July)).

3 Readmitting lapsed/discontinued students

3.1 Lapsed students may apply for readmission to the course in which they were previously enrolled or for admission to a different course that is part of New Courses 2012.

3.2 While there is generally no academic barrier to such students' readmission to the course in which they were previously enrolled, faculties may require an explanation regarding why the student is seeking readmission.

3.3 Readmission of lapsed students does not require a direct comparison with current Group 2 applicants.

Procedures - Readmitting lapsed/discontinued students

2.1 Applications for readmission must be submitted to Admission Centre by the relevant closing date in each semester.

2.2 Faculties, for admission to Pre-2012 courses, or the Admissions Centre, for admission to New Courses, must advise Student Administration in writing of approved readmissions prior to the appropriate offer rounds (First Round, Second Round or Mid-Year).

2.3 On advice from Student Administration Callista must be updated by SMS to reflect faculty decisions (including the removal of Lapsed or Discontinued status).

The University notifies applicants for readmission of the application outcome in the offer rounds.

2.4 Successful applicants must be invited to re-enrol during commencing student enrolment sessions (either First Round - January, or Mid-Year - July).

4 Appeals

4.1 Where a student is not satisfied with the outcome of his or her application for re-admission, the student may seek a review under the University Policy on Review and Appeal of Academic Decisions Relating to Students.

4.2 A student who has exhausted the avenues of review available within the University may pursue his or her case through any appropriate government body or official.
